“Term of Use”

Changes to Schedules
Even though booking has been confirmed, the Client should aware that the itineraries are flexible from the day of arrival to return. Pathfinder Safaris will not accept any claims of any nature including consequential damages due to any accommodation. The client hereby indemnifies and holds the Company harmless in respect of any such claim. Pathfinder Safaris Inc. reserves the right to cancel any tours without prior notification, in such events, the money paid by our client will be fully refunded, which shall constitute the full extent of the Company liability to the client and persons under his authority.

Booking and Confirmation

Clients are requested to send 30% of the total cost of the trip in order to guarantee the reservation, 31 days before adventure travel starts. The balance is due 21 days prior to departure.

When to book your trip: It is better to book as far in advance as possible to ensure that rooms and other services are available, especially during high seasons (June-November, the great season-Christmas time, January-March). This is specifically important for those desiring to travel on tailor made trips or adding extensions to the scheduled trips. Moreover, a minimum of four weeks prior to arrival should ensure your first-choice bookings.

Cancellation
Cancellations of trips are only effective upon the receipt of a written notification. Your trip will be cancelled with effect from the date we receive your written notice. You will not only forfeit your deposit but you will also be responsible for bank transfer charges. We shall retain the full deposit and also a cancellation fee which is payable by the client. The cancellation fee will be assessed based on the schedule listed below:

  • More than 181 days prior to trip departure:$75 fee
  • 180 to 120 days prior to trip departure: $500 fee
  • 119 to 91 days prior to trip departure: $700 fee
  • 90 days to 60 days prior to trip departure: $800 + $65 registration fee
  • 59 to 30 days prior to trip departure: 65% of trip cost
  • 29 days or less from trip departure:90% of trip cost

Cancellation insurance is compulsory for all Tour Operators’ services. It is also the client’s responsibility to get cancellation insurance. In the event that a client fails to join a tour after the departure or leave before the completion, no refund or liability will be accepted by Tour Company.

 

 

Refunds
Pathfinder Safaris Inc. will do its best to ensure that all the anticipated accommodation is available as earlier planned and there shall not be any claim of any nature whatsoever against the Company for the refund, either in whole or in part, in the event that no accommodation or excursion is available and a reasonable alternative is not made available. If the client is unable to utilize any service that is provided in the itinerary, then there will be no refunds due. Pathfinder Safaris will not entertain complaints as a result of the Loss of Enjoyment where the full land arrangement have been provided.

Transportation and Camping Safari

Pathfinder Safaris Inc. may, at its discretion, use any means of transport to your destination such as supply Land Cruisers, minibusses or any other suitable means of transport subject to weather and terrain conditions. All tours start at any point in Tanzania; in the case of any other originating or finishing location please let us know. Camping safaris per trip will be based on the number of people in your group. The maximum number of people in 4WD vehicles, excluding the Driver Guide, is seven. Since the main purpose of your adventure is the admiration of the spectacular scenery, we make arrangements for every client to be next to a window and wherever necessary, we can arrange for an extended vehicle to ensure window seats for all members of your group.

Transfers

All tours start and end with the collection of clients from any centrally located hotel in the main cities / town and also the return to the same hotel or accommodation. In a situation where an out of town hotel or airport or a border transfer is required, a supplement fee will be charged. Unless it was stated otherwise in the client’s tour itinerary.

Accommodation

Pathfinder Safaris reserves the right to substitute the lodges/hotels named in the itinerary, when absolutely necessary. Most of our trips feature first class accommodations in larger towns and cities. Generally, these accommodations offer amenities such as laundry and  room service. We endeavor to find accommodations that are near to local points of interest, colorful markets and unique shops. Some of the lodges are allocated on the foothill of Mount Kilimanjaro.

Single supplements apply to our clients that wish to have their own room but these are only made available at an additional cost to the client. However If you request single accommodations or a roommate cannot be assigned due to reasons beyond our control, the client will be responsible for paying the single supplement fee listed.

Due to the booking policies that is obtained in many hotels and lodges in Tanzania and beyond, the deposit is nonrefundable except in exceptional circumstances, however, if you need to change dates then we will do our best to liaise with accommodation providers to make a new booking with your deposit.

Additional costs Our trips packages includes all accommodation and meals while on safari, trekking mountains, airport transfers, park fees and services of Pathfinder Safaris’ guides and drivers. It is customary to tip your Camp staff, Driver Guide, as well as the Cook if you are camping or traveling with us. You will also pay for your own beverages and personal items like laundry service and phone, and you are responsible for your passport and visa fees. Pathfinder Safaris Inc. highly recommends that you purchase travel protection insurance.

Baggage
All our clients should be aware that baggage is restricted to 12kgs in a soft bag (which includes camera equipment and carry-on bag) as a result of safety and limited space. The Company can arrange for extra baggage to be stored or taken to the camp, lodge or hotel at no additional cost. All baggage and personal effects are at all times the client’s risk and Pathfinder Safaris Inc. cannot accept liability for the loss of your baggage or personal effects.

Liabilities, Insurance, Conditions of Carriage and Limitations

We are an independent ground handling tour operators, an agent for hotels/lodges, boat purveyors or owners, airlines, grounds transportation, car hire and bus companies, and other independent contractors that provide full accommodations and transportation services.

Comprehensive travel and medical insurance are compulsory for guests booking with Tour Company. The client undertakes to take comprehensive travel insurance to cover his/her personal requirements. The insurance should include cover in the respect of, but not limited to, the following eventualities: cancellation and curtailment of the trip and services booked, medical expenses, repatriation expenses, damage/theft/loss of money, personal baggage and goods.

Tour Company, including their representatives, employees and agents will take no responsibility for any losses and costs incurred or suffered by the guests, or the defendants of the guest’s or traveling companions, with regards to, but not limited to, any of the above-mentioned conditions. Guests will be charged directly by the relevant service providers for the provision of emergency services they may need.

Please note that credit card travel insurance is not adequate for adventure travel.
Pathfinder Safaris Inc. only acts as an agent of the passenger or client in all matters relating to tours and therefore, not responsible for any personal injury, accident, illness, death, delay, any kind of loss, damage, irregularity of any kind or inconvenience which may occur as a result of any act or omission beyond its control, including without limitation, any breach of contract or act of negligence of any third party such as a hotel or local internal charter flight utilized, who is to, or does supply, any goods or services for Business and so much more.

Therefore, you should secure a fully comprehensive travel insurance that will cover you for any eventual loss of valuables or baggage, medical expenses, personal accident, or loss of any kind.

If you desire to make any claims regarding any transactions made, we need to receive customers claim in writing and will reach us within 21 days after the end of our services under the contract.

 

Price range and Payment

We try to minimize your in-country expenses on trips. The following are general guidelines of services included in your land costs:

  • In-country airport transfers.
  • All scheduled half board meals in hotels/lodges pre & post trip. Or Two nights in a hotel/lodge on B&B basis (usually, but not necessarily, one before the trek and one after).
  • Camping/ hotels/ lodges accommodations (expenses).
  • Accommodation expenses based on 3 meals while safari or trekking.
  • Mineral water 3 liters per person per day.
  • All park entrance fees.
  • All camping equipment (Except personal gears such as a mattress, sleeping bag etc).
  • Transportation on the 4WD vehicle which has a pop-up roof, which enables you to spot wildlife easier (For safari).
  • Fuel, no limit during a game
  • All other ground transportation such as transfers to/from the mountain at the start/end of the trek
  • Staff and guides services.
  • All scheduled activities per itinerary stated (city tours, museum visits)
  • Porter support (with the exception of personal porter).
  • Flying doctors insurance

The following is not included in the cost of each trip:

  • Visa, International airfare from your beloved country.
  • Personal Travel Insurance including personal accident, medical insurance (health), loss insurance for adventure travel & activities.
  • Unscheduled restaurant meals.
  • Unscheduled hotel nights.
  • Beverages (water, Hot and cold soft drinks, alcoholic drinks or fruit juice)
  • Items of personal nature (phone calls, cigarettes, shopping, souvenirs, laundry, room service, etc.)
  • Tips or other gratuities for Guide/staff.
  • All optional excursions (the main optional activities are listed on the itinerary stated).
  • Hot Air Balloon ride over the Serengeti, you can book with us for USD 549 per person.

Unfortunately, Pathfinder Safaris does not accept Pay pal payments for your booking payments at the moment. All pre-payments, including the balance due 21 days prior to departure, are payable via bank transfer/credit card to Pathfinder Safaris.

Price Increase

Pathfinder Safaris Company reserves the right to increase tour fares due to any increase in accommodation fees, food, local airline tariffs, fuel costs, game reserve entry fees or park fees, fluctuation of exchange rates and so much more.

Travel Documents and Formalities

All our clients acknowledge that it is their responsibility to ensure that he/she has the necessary valid travel documents which include: vaccination certificates, passport, visas and every document and formality whenever necessary. However, Pathfinder Safaris Inc. will strive to assist the passenger in this regard but such assistance should be at the Company’s sole discretion.

The client also acknowledges that in doing so, Pathfinder Safaris is in no way assuming any liability or obligation and that it is the client’s responsibility to ensure that the aforesaid documentation is perfectly in order and also abides by such lawful requirements and other requirements to enable the client to enjoy the full benefits of the tour. Each client agrees that the Company will not be held liable for a refund of the tour fares or a compensation in the event that the client is refused entry into a country for any reason.

Age Limits and Health

Please consult us regarding age policies at the time of booking. If the clients lie regarding their actual age, traveling with us may be difficult or could be terminated whenever necessary without compensation. We reserve the right to know who we are dealing with to enable us to treat you in professional manners.

The client acknowledges their awareness of the proposed itinerary and it is the client’s obligation to ensure that he/she is medically fit and able to embark upon such a tour.
Pathfinder Safaris Company believes that the contents of this website are correct at the time of printing, but all prices, services, terms and conditions are subject to change or withdrawal without notice.

Obligation and Factors Outside Company’s Control

Clients should be aware that unforeseen circumstances as a result of road conditions, mechanical breakdown, weather, border closure, accident, political situations, etc. are beyond the direct control of Pathfinder Safaris Inc. and therefore can cause the delay and change in the performance of the safaris. The cost incurred in flying back home, food, alternative accommodation, personal expenses and all the resulting costs are borne by the client.

The client is aware that obtaining an insurance is compulsory in order to participate in all the tours and also acknowledges that it is his/her responsibility to obtain a comprehensive travel insurance. Pathfinder Safaris Inc. will not accept liability whatsoever. Also, the client acknowledges that the packages and services arranged by Pathfinder Safaris Inc. whether in a civilized or remote area, by a vehicle, plane, dugout canoe, train, horseback, boat and other conveyance or by foot has certain risk of illness, death, injury or loss and damage of property which can be caused by the forces of nature, wild animals, accidents, the negligence of others and other causes which may be known or unknown.

The client also acknowledges that such risks may be present at any time of the trip which could be before, during or after the tour that is arranged by Pathfinder Safaris Inc. and that the availability of medical services and facilities cannot be guaranteed immediately during the tour.
The client expressly assumes any risks with respect to the activities, services and circumstances described herein and agrees also not to file any charges against Pathfinder Safaris on account of any losses, claims, costs, liabilities or damages.

The client agrees that he/she will not allege the unenforceability of this Agreement or any part thereof. In a situation where any competent authority finds that any part of this Agreement is unenforceable, all other portions of the terms and conditions shall remain in full force and effect. The client agrees that a foregoing obligation shall be binding.

Handling of Complaints

Unfortunately, if any problem occurs, kindly tell us directly or your driver/guide and accommodation services immediately, in most cases, problems can be solved on the spot. At the end of each trip, we provide a quality control questionnaire to fill. We would be grateful to get feedback from you for maintaining and improving our standards. If you are still dissatisfied, kindly write to us setting out the complaint in detail within 31 days of the end of our services under the contract. We will accept responsibility for any complaints, however, any legal dispute that arises must be settled in Arusha.
